Report Preview, Print and Save Options

This help file reviews how to preview, print, and save reports, posting registers, and lists. The steps include how to save as a PDF file, save as an Excel file, or save a csv file.

Preview Options

The PREVIEW button has a drop down with two options:

  1. Standard Preview
    1. Click the Standard Preview button to view the report on screen.  
    2. The report may be printed or saved from within the preview screen.  
  2. PDF Preview
    1. Click the PDF Preview button to view the report on screen in PDF format.
    2. This allows you to open multiple reports at once.
    3. The report may be printed from within the preview screen.  
      1. Click the PRINT icon
      2. The Print dialog box will appear
      3. Make your print selections: printer, pages, copies
      4. Click PRINT
    4. The report may be saved from within the preview screen.  
      1. Click the SAVE icon
      2. The SAVE AS dialog box will appear
      3. File Location: Navigate to the location on your computer where you want to save the file
      4. File Name: name the file so you know what it is later
      5. Save as Type: change the option from VPE Document (*.vpe) to PDF Document (*.pdf).
        1. Make sure the type PDF Document (*.pdf) is selected
      6. Click SAVE

Print Options

Print

When the report generates, this button will directly send to your default printer. A preview will not appear.

  1. Click the PRINT button to send the report directly to a previously setup or used printer.  
  2. If a printer has not been previously setup or used in the program, a print dialog box will open to select a printer.

Print with Setup

  1. Click the PRINT WITH SETUP button to bring up the print dialog box.  
  2. Select the printer and any print options, i.e., two copies.
  3. Click the PRINT button to send it to the printer.

Email Option

  1. Click the EMAIL button to save the report as a PDF and insert it into an email.  You may then select recipients to send the report to.
  2. System users your default email client such as Microsoft Outlook.  
  3. Requires a 32 Bit email client, not compatible with a 64 bit email client.
  4. This option will not work if you have no email client on the computer running Horizon such as when running Horizon on a Remote server.  

Save Options

Follow the steps below to save an electronic copy instead of printing. This will allow you to quickly and easily find records for audits, employees, etc.  Make sure to create a folder structure that you can find your reports later. 

 Be sure not to save files to your desktop - these files are not included in system backups. Make sure where you save your files has regular back-up files and can be restored in the event of a disaster or computer issue.

Save PDF File


  1. Click the down arrow on the EXPORT button
  2. Select PDF
  3. The SAVE PRINT OUTPUT AS dialog box will appear
  4. File Location: Navigate to the location on your computer where you want to save the file
  5. File Name: name the file so you know what it is later
  6. Save as Type: make sure the type PDF Document (*.pdf) is selected
  7. Click SAVE

Save Excel/csv File

  1. Click the down arrow on the EXPORT button
  2. Select Excel
    1. Some reports have the option to save a Comma Separated Values (.CSV) file 
  3. The SAVE PRINT OUTPUT AS dialog box will appear
  4. File Location: Navigate to the location on your computer where you want to save the file
  5. File Name: name the file so you know what it is later
  6. Save as Type: make sure the type Excel Document (*.xlxs) is selected
    1. If saving a CSV file, make sure the type Comma Separated Values (*.csv) is selected
  7. Click SAVE
