Process Payroll using Stratus Time Tracking

The Stratus Time Tracking solution is a web based system that includes electronic time sheets, paid time off tracking, and time allocation. The global settings control how staff can enter time, supervisor approval process, default codes, etc.

If your agency subscribes to Stratus Time Tracking, the time sheets interface with Horizon Payroll Management. This eliminates the need for you to enter staff hours in the time cards each payroll.

If Stratus Time Tracking is setup, pulling the time cards is the main change in the payroll process. The Auto Setup Time Cards icon will include a drop down to select Stratus time cards. This will pull the time cards from Stratus Time Tracking AND employees with the ATC checked in the Employee Master. Typically, employees with ATC checked would be executive and administrative staff (salary) who do not complete time sheets.

Automatic Setup Time Cards

NAVIGATION: ACTIVITIES menu > Auto-Setup Time Cards > Stratus Enabled Auto-Setup Time Cards

  1. Select your Pay Frequency (Weekly, Bi-Weekly, Semi-Monthly or Monthly)
  2. Enter or select the Pay Date you are processing and press tab
  3. The default Earning Cycles to Process will be displayed but will be dimmed and un-selectable.
    1. These cycles will usually be correct and should not be changed.  
    2. For special pays you may change these.  Enter a checkmark in the Change Default Cycles box, and then remove or add cycles.
  4. Place a checkmark in "Break Out Holiday Time?" if employees are paid for holidays and you have a holiday setup in the Holiday Master that occurs during the payroll period.
  5. If you have entered a checkmark in "Break Out Holiday Time?", enter or select the Holiday Code which is the Earning Code for the Holiday Pay.
  6. Click PROCESS TIME CARDS (STRATUS ENABLED) on the QuickLinks bar to create entries in the time cards for employees.
    1. Before you begin processing payroll, employees should submit time sheets and supervisors should approve time sheets in the Stratus Time Tracking system.
    2. If time sheets are not approved, an error prompt will appear that unapproved time sheets exist.
    3. Click YES to continue pulling the unapprove time sheets.
    4. Click NO to stop the time card pull.  Contact supervisors to approve time sheets. Complete the time card setup once approved.
  7. All time cards will be available to review/edit in the Time Card Entry.
  8. Review all time cards with the Time Card Register report.
  9. Once you have finalized the time cards, continue the regular payroll process.
