Residency Certification Form

The Residency Certification Form is used when an employee has moved or when their work site has been changed.

New Employee Address Due to a Move

When an employee informs the company that they have changed residence, have the employee fill out a new Residency Certification Form.

NAVIGATION: MAINTAIN menu > Employee Master

  1. Select the employee and click tab 2-Address/Parameters
  2. Enter the employee's new address
  3. Enter the new PSD code and the date from the form as the Effective Date
  4. The day the employee is filling out the form should be the date of completing the form.
    1. Do not allow the employee to backdate this to the actual date of move as this date is your company's liability date for withholding and reporting the correct tax amount and residence.

New Work Location

  1. The employee will fill out a Residency Certification Form.
  2. The date will be the first day they will work at the new location.
  3. If the new work site is in a different municipality, then open the Employee Master and go to tab 6 - Deductions/Expenses.
  4. Update the employee's current local tax deduction code:
    1. Open the current Deduction Code for their work site.
    2. Click the Advanced button
    3. Enter the End Date as the day before the date on the Residency Certification Form
    4. Click OK
  5. Enter a new Deduction Code for the new work site:
    1. Select the new Deduction Code
    2. All of the defaults setup for the Deduction code should be kept:
      1. Employee Amount = 0.00
      2. Type = % = Percent Amount
      3. Maximum = 99999.99
      4. Taxable Federal and State should = Y
    3. Click the Advanced button
      1. Enter the date on the form as the Start Date
      2. Click OK
