Stratus Monthly Billing - Monitoring Active Individuals

Stratus Rep Payee monthly subscription invoices are based on the actual number of ACTIVE individuals maintained in the system. As individuals no longer receive services from your agency, make sure to follow the Process to Close a Client Account to make an individual inactive in the system. This will ensure inactive clients are excluded from billing.

You typically would not want to delete a client record unless it was entered in error. All information and transactions about the inactive client are maintained in the system. If an individual returns to service, they can be made active.

Individuals will be included in the monthly billing count if any of the following applies:

  1. Individual is ACTIVE at any point during the month
  2. Individual has a BALANCE at any point during the month
  3. Any transactions for the individual are processed at any point during the month

Before the end of the month, make sure to review the reports listed.  If you identify a client that should be excluded from billing, make sure to complete the Process to Close a Client Account before the first of the next month.

Active Status - Client Balance Summary

If a client is on this summary report, they will be included in the billing count.

NAVIGATIONREPORTS menu > Client Balance Reports > Client Balance Summary

  1. Leave the client information section blank to review All Clients
  2. Enter the start and end date for the month you are reviewing
  3. STATUS field, select ACTIVE ONLY
  4. BALANCE TYPE field, select ALL
  5. CLIENT TYPE field, select ALL CLIENTS
  6. Check NOTIFY
  7. Click RUN REPORT icon

Balance - Client Balance Summary

If a client is on this summary report, they will be included in the billing count.

NAVIGATIONREPORTS menu > Client Balance Reports > Client Balance Summary

  1. Leave the client information section blank to review All Clients
  2. Enter the start and end date for the month you are reviewing
  3. STATUS field, select ALL CLIENTS
  4. BALANCE TYPE field, select ALL
  5. CLIENT TYPE field, select ALL CLIENTS
  6. Check NOTIFY
  7. Click RUN REPORT icon

Transactions - Transaction Report By Client

If a client is on this summary report, they will be included in the billing count.

NAVIGATIONREPORTS menu > Transaction Reports > By Client

  1. Leave the client information section blank to review All Clients
  2. Enter the start and end date for the month you are reviewing
  3. Check INCLUDE INACTIVE CLIENTS to review all individuals in the system
  4. CLIENT TYPE field, select ALL CLIENTS
  5. Check NOTIFY
  6. Click RUN REPORT icon
