Go to Processes>>Tenant Transfer Wizard
Enter a Tenant Account Number or Last Name
Once the correct Tenant is pulled up, Tab and enter a Transfer Out Date. This is the day the Tenant is leaving the old unit (Day before actual date in New Unit)
Enter a Reason Code…click on Prompt Box and make selection
Enter a Transaction Date…this is the day entered into the system (Current Date)
Enter a new mailing address if it will be different than the new unit address
Click Next
Transactions based on Information in Transfer From unit...
User will now view current charges against the tenant, current tenant balance, Security Deposit to A/R, and amount to be transferred into new unit
Note: Prorations are done based on amounts that are posted from the autobill area. Balance forward, cash receipts and adjustment information are included in the amount to be transferred into the new unit.
For tenants with no dollar amounts to transfer the system will use an "other" type code with a description of "No Balance to Transfer" and a zero dollar amount
Verify all information and Click Next
New Unit
User will now Select Area, Community, and Unit
Once correct Unit is selected, click Assign Tenant Suffix
This suffix should be correct…If not CALL
Enter New Utility Allowance amount in the New UA field
Click on Create Tenant
Auto Bills should match the Auto Bills in old unit…user can change the charge and amount.
The auto-bill line may also be deleted - highlight the line and click the delete button. Click Yes to "Delete this line". Never click Yes if the message is "Delete this record"
If the line has been deleted, enter the appropriate auto bill information.
User can also view and change Security Deposit Required information
Once all Information is accurate, click Next
New Unit Transactions
Transactions for New Unit are shown…these Transactions should match those in current Transactions
For tenants with no account balance to transfer - the system will use an "Other" code with "No Balance to Transfer" as the description and a zero dollar amount.
Ending balance should usually match the balance before processing transfer…Please call if you get stuck
Click Next - an info box will pop up to inform you that all transactions will be saved at this point and a new unit is created even if you quit the process at this point.
Finishing UP
Create and Print 50058 or 50059
Select and print any forms or letters
Click FINISH
If a 50058 or 50059 was not created a Confirmation box will be displayed
Click Yes to continue with the Transfer
Click No to return to the process and create/print a 50058 or 50059.
Please Verify Information of Tenant in new unit
