How to Enter an Annual Reexam for 58s

Go to Maintain>>Tenants (Active)

• Enter the Tenant Number and hit Tab, or enter the Last Name and select the tenant

• If the file is in "read only" mode go to Quick Link>>Unlock Tenant File.  Select a Tracking Code and/or enter a modified description and click Save

• Change the Effective Date to match the date of the Annual

• Change Action to Annual Re-examination

• Go to the Contracts tab

• Enter the Last and Next Re-exam Dates

• Go back to the Main tab

Household Composition

• Make changes to Household Composition

• If member appears on front screen, double click that member…If adding a new Member, Go to Quick Link and select Household Composition

• User is now in Household Composition View

• If a new Member needs added, create the member…Go through the Tabs and add all applicable information

• If the member is there, pull that member up

Income Information, Asset Information or Deduction Information

• If user is making a change to current Income, Assets, or Deductions, double click on that line item…Make changes and verify

• If user needs to add an Income, Asset, or Deduction, click on Quick Link and select Income, Asset, or Deduction

• Enter the new Value and Period and any detail information that is appropriate.  Tab through the fields until the Line drops into the table

• After entering Income, Asset, or Deduction Information, Save and Close that screen

• Close the Household Composition Screen

Rent Calculation

From the Tenant Master Screen go to Quick Link>>Rent Calculation

• Make sure the Effective Date matches the Effective Date entered on the Tenant's Main screen

• Press Auto Calculation one time

• Verify info on Main Tab

• Verify TTP Tab

• Verify Rent Calculation Tab

• Enter Utility Allowance and Tab

• Enter Comments

• Once satisfied with all figures…Save and Close

Create 50058

• From the Tenant Master Screen click on Quick Link

• Click on Create 50058 Record

• If any errors are shown, fix errors and recreate

• If there are no errors, click Yes to print out the 50058.  If the tenant's file was in "Edit Mode", the file will be locked and read only at this point

• • Place a check mark in the Summary Application and/or Rent Worksheet boxes to print them as well as the 50058

  • Preview and/or Print the 50058 and other selected options

Forms and Letters

• From the Tenant Master Screen click on Quick Link

• Click on Custom Forms and Letters

• Select a Letter or Form and press Print
