Recurring Income templates are used repeatedly for transactions that remain the same or need minimal adjustments. Run the edit list and make adjustments if needed to template information before posting.
New Templates
If new Recurring Income templates need to be added, please refer to: How to Setup a New Recurring Income Template
Adjustments
Go to Recurring>>Recurring Income Template
Select any Recurring Income #s that needs an ongoing change for the next run
Make changes as needed to the template(s)
Click the Save icon to save the changes made
Running the template list
Go to Recurring>>Recurring Income Template List
This will create a recurring income transaction template list based on the following selections.
Click in the circle before Entry, Client Number, Client Name (ALPHA) or by Social Security Number to select a display order
Select the Pay Group you want to review
Select a Frequency for the edit list. The frequency selected will determine which templates are processed.
You can also choose to checkmark the Break Report by Income Code box (if multiple income codes were used when entering the income transactions).
Once you have made your selections,
Click either Preview, or Print.
Once you are satisfied with the information on your Edit List, the next step is to Pull Recurring Income to Staging
Note: It is suggested that you preview your Edit list before printing for several reasons. First, you can easily view the information on your screen and go back and fix, add, or delete the income transaction that was incorrect without having to actually print the report. This may save you some time and paper if you need to make corrections. Also, you can print the report from within the preview by simply clicking on the print icon. If you choose to print the report without previewing it first, you may not like the way you grouped it, also, you may see transactions that need to be corrected which you will have to run the edit for again after you have made corrections.
Go to Recurring>>Pull Recurring Income to Staging
Pulls recurring Income Template information based on Pay Group and Frequency to the staging area.
Select the desired Pay Group and Frequency and hit Pull Income
Go to Recurring>>Recurring Income Edit Grid
Review and edit pulled template information in a grid format. This grid allows you to change the value in fields that often need updating month to month.
Use the Freq and Filters to limit the amount of data showing on the grid.
The grid cam be used to easily make "one-time" changes.
*Changes made in the grid will not update the Recurring Income Template.*
The grid can be used as an easy way to enter the variable amounts that are zero in the template. Each line will save as you move to another line, but remember to save your last change before closing the view. Do this by moving to another line, or by clicking Save.
The OK Check box must be checked in order to post. Place a check mark in all income items that you wish to post. If a client's income has not been receive yet, you can leave the OK box blank so it will stay in the edit grid until received. IF the income will not be received this month you may delete the line from the grid.
Go to Recurring>>Recurring Income Edit
Users may pull up a Recurring Income Number to review or make changes to it.
This is the same data as in the Recurring Income Edit Grid but is just a different way to view the Income items. This view allows you to change more fields, such as the Frequency, the Transaction Code and the Modified Description that are not available in the grid.
Go to Recurring>>Recurring Income Edit List
First select a Sort Order using the radio buttons next to Entry, Client Number, Client Name or Social Security Number.
Select a Pay Group and Frequency and Print or Preview the report
Any changes necessary can be made in the Recurring Income Edit Grid or in the Recurring Income Edit area (both described above.)
Go to Recurring>>Post Recurring Income
This is the final step and will post the income to the clients accounts and checkbook.
Select a Pay Group, Frequency and assign a Transaction Date to your posting
Hit Post
NOTE: It is recommended that you print the posting report or preview it and save as a PDF.
