Household Composition

Household Composition may also be brought up for existing members by double clicking on a member in the Household Composition grid found on the general tab of the Section 8 Tenant Master.

Function Menu

At the top of the view are functions such as save and delete.  Click here for more information on functions.

Header

The tenant name and number from the Section 8 Tenant Master header will be displayed in red (read only), green (edit mode), black (program is not using enhanced edit and the file can be changed) or blue (archived).  The header information may not be changed in this area.

Main

General

Member information is entered or displayed in this area.

When the Household Composition program is opened from the Window/Grid in the Section 8 Tenant Master the information for the member who was clicked upon will be displayed.

Member #

Enter or select an existing member number to view or edit if one is not already displayed.  

Leave this field blank to enter a new member.  The program will assign a member number when a save is performed.

If member numbers are incorrect run the Renumber/Update Tenant File program from the Section 8 Quick Link Menu.

Last Name

For a member that is already selected, their last name will be displayed.  The last name may be edited.

When entering a new member the head of household's last name will be automatically entered as the last name.  The last name may be overwritten with the member's own last name.

Note:  A Name Verification process is run for a member who is designated as the Head of Household (Relation to Head = H-Head).  If the name of the Head is different than the Tenant Master file name, the program will display a Name Verification alert.  Press Yes to update the name of the Tenant Master file or press No to return to Household Composition and review the information.

First

For a member that is already selected, their first name will be displayed.  The first name may be edited.

For a new member, enter their first name.

MI

For the selected member, their middle initial or middle name will be displayed.  The middle name or initials may be edited.

When entering a new member, enter their middle name or initial.

Relation to Head

For a selected member, the previously entered relationship code will be displayed.  The relationship code may be edited.  If the head of household information is changed, the Head of Household name in the Section 8 Tenant Master should be updated and the prior head's social security number should be entered on the new head of household's Demographics tab.

When entering a new member select an appropriate relationship code.  You may enter the code to pull up the relationship information.

For Example:  

If you enter a L the L-Live-In-Aide relationship code will fill in.  You will not need to do the drop down/select process.

Relationship codes are as follows:

Sex

For an existing member male or female will be displayed.

When entering a new member you may select male or female from the drop down list or enter an M or F to select the information.

Social Security #

For an existing member the social security number previously entered will be displayed.

When entering a new member enter the social security number without dashes.  The system will display the social security number with the dashes.

D.O.B.

For an existing member the previously entered date of birth will be displayed.

Enter a new member's date of birth in a mmddyy or mmddyyyy format.  There is no need to enter the slashes, the slashes will be shown when the field is tabbed out of.

Age

The system will calculate and update this field as needed.  

Member Status

Select a member status as one of the following:

Email Address

Enter or edit the member's email address, if applicable.

Income/Assets

This window/grid will display any previously entered income or asset information for the member.

When information is shown in the window/grid the Income or Asset Information programs may be opened by double clicking on a displayed entry.  The Income or Asset Worksheet must be opened from Household Composition>>Quick Link menu when no information is shown in the window.  

Use the scroll bars to the right and bottom of the window to see additional information.

The following information is displayed for any income or asset that has been entered:

Deductions

The deduction window/grid will display previously entered deduction information for the member.

When information is shown in the window/grid the Deduction Information programs may be opened for the deduction by double clicking on a displayed entry.  When no information for deductions are shown in the window the Deduction Worksheet must be opened from the Household Composition>>Quick Link menu.

Use the scroll bars to the right of the window to see additional lines if needed.

At the bottom of the Main view of the Household composition program the following total fields for Income, Assets and Deductions will be displayed:

Demographics

Miscellaneous Information

Birth Place

View, enter or edit where the member was born.

Prior Head Soc. Sec. #

If this member is the new Head of Household, enter the previous head of household's social security number.  This is a required field if the head of house is changing.  If there has not been a change in head of household, leave this field blank.

Elderly Status

Select one of the following elderly status codes:

Citizenship

Select one of the following:

Race Information

Check the following fields that apply:

Ethnicity

Select one of the following:

Needs/Service

Disability Information

Disabled

Place a checkmark in the box if the member is disabled.  Elderly members who are disabled should have an elderly status of 62 or older and this field checked.

Nature or Extent of Special Needs

When disabled is checked, enter comments regarding the members special needs for the disability.  This field should be left blank if the member is not disabled.

Have You Applied for Disability Benefits?

Place a checkmark in the box if the member has applied for disability benefits.

What Type?

Enter the type of disability benefits the member has applied for, if any.  

When

Enter when the member applied for disability benefits.  This field should be left blank if the member is not disabled.

Disability Check boxes

Enter a check mark in one or more of the following disabilities:

Veteran

Place a checkmark in the box if the member has military service.

Term of Service

Enter the term of service for the member.

Branch of Service

Enter the military branch the member served in, i.e. army, navy, coast guard, etc.

Education

School Information

Grade in School

Enter the member's grade in school if applicable.  Enter 99 if the member is a college student or community college student.

Full Time Student

Check this box if the member is considered a full time student.

School Name and Address

If the member is a student enter the name and address of the school.  This information can be merged into letters/forms for a letter type of Full Time Student Verification.

Note:  The zip code field may be used to pull in the city and state.
 

Medical Professional

Medical Professional Information for Disability Verifications

Medical Name and Address

To verify disability information enter the name and address where verification letters/forms are to be sent.  This information can be merged into letters or forms.

Note:  The zip code field may be used to pull in the city and state.

Criminal Info

If the member does not report any violations, this page may be left blank.

Any Convictions Other Than Traffic Violations?

Check this box if the member has criminal convictions.

Explanation 1 and 2

In the areas provided enter information for one or two criminal violations.

Loc Of Records

Enter the location of the records for each criminal violation entered.

Prob. Officer

Enter the name of the probation officer for the member.  Leave this field blank if the member does not have a probation officer.

Have You Been Known By Another Name?

Check this box if the member reports that they have been known by another name.

Explain

Enter the explanation as reported by the member for the additional name.

 

Marriages

Married

Place a check mark in the box if the member is married.

Number of Times Married

Enter or select the number of times the member has been married.

Maiden Name

Enter the maiden name of the member, if applicable.

Previous Marriages

Names/Address

If the member has been married previously enter the name, address, status and social security number for up to three spouses.

Select one of the following as the status of each reported marriage:

Absentee Information

Absent Parent/Spouse Information

Name, Address and Social Security Number

Enter the name, address social security number for the missing parent or spouse of the member.

Note:  The zip code field may be used to pull in the city and state.

Relation

In the relation field enter how the absentee person is related to the member.

Last Contact

Enter the last contact date for the absentee person.

Notes/Tracking

This area is available for users to enter text information regarding the member.

Note Window

Type information for the member in the note window.
