How to Create a New Unit - not using Rent Reasonableness

Units may be created using the following if not using Rent Reasonableness.

Go to Maintain>> Section 8 Tables>>Unit Master.

In Horizon Software the Section 8 Tenant Number is made up of three sections:

V0021 - 0046 - 01

To find the last unit number used for the project, open the Unit/Tenant Number browse by using F4 to activate it or by pressing the square to the right of the tenant number.  Scroll down to the end of the project number to view the last unit number used.

For instance, if you have sorted the list and are looking for the next available unit in V0021 your list will look something like this:

The next available number would be 0046 since 0045 was the last unit number used for V0021

Or you may select the project number and use F8 to go through all the unit/tenant numbers used for that number.

The tenant number indicates how many tenants have lived in the unit.  For example; the first tenant is 01, the second tenant to live there is 02.

To set up a new unit:

Project Number

Enter or select the Project Number to associate with the new unit.  Project numbers are setup and maintained in the Project Master.

Unit/Tenant Number

Enter the new unit number and assign 01 as the tenant number.  Unit numbers are setup and maintained in the Unit Master.

Street Key

Enter the address as you want it sorted in the browse boxes (i.e. 500 Redstone Street could have a sort key of Redstone Street)

General Tab

Unit Address Information

Enter the physical address information for the unit in the address, city, state and zip code fields.

Mailing Address Information

Enter the mailing address for the tenant/unit.  If the landlord is to receive the mailing enter the landlord mailing address here.

Landlord Information/Contract Rent

Enter or select the Landlord to associate with the unit.  For information on setting up a landlord click here.

Detail Tab

Unit Location Information

Enter the county, location, street # and census information associated with the unit (If applicable to your organization)

Unit Information

Enter the bedroom size, voucher size, year unit was built, square feet, type of structure, rent calculation type, and funding type associated with the unit.

Voucher/Existing Housing Types

Check any/all that apply to the unit.

Mob Rehab Information

Enter mod rehab information if it applies to the unit.

Utility Tab

Unit Type

Enter or select the unit type from the list.  The default allowances based on the Utility Allowance Table will default at the bottom of the screen.  These can be overwritten if it is necessary to make changes.

Exempt from U/A Voucher Size

Check the box if the tenant's utility allowance should be calculated on Bedroom Size instead of Voucher Size.  

Utility Notes

Enter notes in this area, if applicable, for utilities.

Tax Tracking

If Tax Tracking is being used, the information is entered here.

Amenities Tab

Check any additional features for the unit. If Rent Reasonableness is not used Amenity information cannot be setup.

Services Tab

Check any services available for the unit. If Rent Reasonableness is not used Service information cannot be setup.

Facilities Tab

Check any facilities available for the unit.  If Rent Reasonableness is not used Facility information cannot be setup.

Delete Existing Unit

Deleting an existing unit is done from the Unit Master located from Maintain>> Section 8 Tables>> Unit Master.

Caution should be exercised when deleting units as history for the unit will not be available after it has been deleted.

To pull up an existing unit you may:

1.  Enter or select the project number and then enter or select the unit/tenant number.

2.  Enter or select the Unit/Tenant information and the project number will fill in as well.

Once the unit has been selected, click the delete button and press Yes when prompted to delete the record.
